Support the physical set-up and breakdown of equipment and furniture for Agency spaces for planned events and meetings in HQ and the Agency satellite building during normal business hours. If events occur after normal business hours, the FTC will inform the team leader as soon as possible.
The Agency has approximately 50 event setups per month, with the majority small meetings requiring some furniture setups while 3 to 4 large events require support that is more substantial in size.
Activities include:
1) Coordination with event planners to ensure a smooth and timely room set-up and tear down for meetings/events as noted on the Service Now work request, which details furniture layouts and other information, while remaining flexible if change requests are submitted.
2) Delivery of event supplies including, but not limited to, non-perishable food items, food platters and packaged food, cooling tables, tables and chairs, displays including signage and banners, flags with stands, risers and platforms, and various miscellaneous supplies (i.e., paper, pens, name tags, ice, cutlery, paper cups and plates) by the time specified on the work request.
3) Setting up guidelines:
a. Set-up should be completed no less than one hour prior to the meeting start time stated on the work request, unless a different setup time is required indicated verbally or on the work request.
b. Set-up includes:
i. The placement of tables and chairs, official flags and stands, easels, cooling tables, and riser and platforms, where applicable.
ii. Transporting boxes of materials or supplies including, but not limited to packaged food and platters, tablecloths, nametags, paper, pens, handouts, and binder, between buildings.
4) After the conclusion of the meeting/event, the contractor shall remove all items delivered to the space and return to the appropriate storage area. The contractor is responsible for maintaining and cleaning beverage carts to ensure they are emptied after usage, stored properly, and ready for future usage. Cleaning locations to be designated by the Agency COR.
ADDITIONALLY:
Internal Office Moves
a) Within three days of receiving approved notification, deliver agency provided packing crates with dollies, packing supplies, or boxes to the location and/or individual specified in the work order.
b) Within seven days after the official move date, pick up any materials used by personnel for the move (i.e., dollies, crates, boxes)
c) For emergencies or urgent moves, provide that occur via Service Now, emails, or telephone calls, deliver packing materials immediately or per the date specified.
